1. Who We Are

Ofeqmobility (“we”, “us”, “our”) operates a car rental management SaaS platform used by car rental businesses (“Subscribers”) in Kenya. This Privacy Policy explains how we collect, use, store, and share information when you use our platform or visit our website.

2. Information We Collect

From Subscribers (car rental businesses)

• Business name, registration details, and operating address
• Owner/administrator name, email address, and phone number
• Bank account details (for Paystack Subaccount setup)
• Subscription and billing history
• Platform usage data (features accessed, session logs)

From Subscriber-entered data (their customers & operations)

Subscribers enter data about their own customers, vehicles, drivers, and bookings into our platform. This data is processed by us on behalf of the Subscriber. Subscribers are the data controllers for this information; we act as data processors.

• Customer names, phone numbers, email addresses, and ID numbers
• Vehicle registration numbers and fleet details
• Booking records, invoices, and payment records
• Driver profiles and licensing information

Automatically collected

• IP addresses and browser/device information for security logging
• Error and performance logs

3. How We Use Your Information

• To create and manage your Subscriber account
• To process subscription payments via Paystack
• To set up Paystack Subaccounts so your customers can pay you directly
• To provide, maintain, and improve the platform
• To send service emails (billing receipts, security alerts, product updates)
• To comply with legal obligations including AML/KYC requirements
• To detect and prevent fraud and abuse

We do not sell your data to third parties. We do not use your data for advertising.

4. Sharing of Information

We share information only in these limited circumstances:

• Paystack:We share bank account and identity information with Paystack to create and verify Subaccounts and to process subscription payments. Paystack's own Privacy Policy applies to their handling of your data.
• Cloud infrastructure providers: Our hosting and database services process data on our behalf under confidentiality agreements.
• Legal requirements: We may disclose information when required by law, court order, or regulatory authority, or to protect the rights and safety of any person.

5. Data Retention

We retain Subscriber account data for the duration of the active subscription and for 90 days after cancellation, after which it is permanently deleted unless a longer period is required by law. Billing records are retained for 7 years in accordance with Kenyan tax regulations.

6. Data Security

We use industry-standard security measures including encrypted data transmission (TLS), encrypted storage of sensitive credentials, and access controls limiting data access to authorised personnel only. No system is 100% secure; we encourage Subscribers to use strong passwords and report any suspected security incidents immediately.

7. Your Rights

As a Subscriber, you may:

• Access a copy of the personal data we hold about you
• Request correction of inaccurate data
• Request deletion of your account and associated data (subject to legal retention requirements)
• Object to processing in certain circumstances

8. Cookies

We use essential session cookies to keep you logged in. We do not use advertising or tracking cookies. Analytics, if used, are anonymised and aggregated.

9. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify registered Subscribers of material changes by email before the changes take effect.
